The Road Construction Field Clerk/Assistant supports the project management and field operations teams in the daily administration, documentation, and coordination of road construction projects. This position ensures that all project records, reports, and communications are accurate, organized, and up to date to support efficient field operations and compliance with company and regulatory standards.

 

 

Key Responsibilities

 

Administrative & Documentation Support

• Maintain accurate and organized project files, including daily reports, timesheets, delivery tickets, material quantities, and inspection records.

• Prepare and distribute project documentation such as RFIs, submittals, meeting minutes, and correspondence.

• Assist in compiling pay estimates, cost tracking reports, and change order documentation.

• Collect and verify field data for quantities of materials placed, equipment usage, and labor hours.

• Ensure proper documentation for subcontractors, vendors, and suppliers.

 

Field Coordination

• Support the Project Manager and Superintendent in coordinating daily field activities.

• Track and log deliveries of materials (aggregate, asphalt, concrete, etc.) and ensure tickets match orders.

• Assist in monitoring progress against schedules and budgets.

• Help ensure compliance with safety, quality, and environmental standards through recordkeeping and reporting.

 

Communication & Liaison

• Serve as a liaison between field staff, office staff, subcontractors, and clients.

• Communicate updates, documentation requests, and schedule changes in a timely and professional manner.

• Attend project meetings and prepare notes or summaries for distribution.

 

 

Qualifications

 

Education & Experience

• High school diploma or equivalent required; Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred.

• 1–3 years of experience in construction administration, preferably in road, highway, or heavy civil construction.

• Experience working on DOT or municipal projects is a plus.

 

Skills & Competencies

• Strong attention to detail and organizational skills.

• Proficient in Microsoft Office Suite (Excel, Word, Outlook) and construction management software (e.g., Procore, HCSS, or similar).

• Ability to read and interpret basic construction drawings and specifications.

• Excellent written and verbal communication skills.

• Ability to work effectively in a fast-paced field environment.

• Strong problem-solving skills and ability to prioritize multiple tasks.

 

 

Working Conditions

• Primarily field-based, with regular visits to active construction sites.

• Exposure to outdoor weather conditions, noise, and construction activity.

• Occasional overtime or weekend work may be required depending on project needs.

 

 

Physical Requirements

• Ability to stand and walk for extended periods.

• Ability to lift up to 25 pounds occasionally.

• Comfortable working near heavy equipment and road traffic under safe conditions.
